FAQ & troubleshooting

BirthTracks is your practice’s birth registry: record each birth once and get your outcome statistics, benchmarks, and pre-filled state worksheets from the same record — instead of log books, spreadsheets, and hand-calculated stats.

It was designed for nurse-midwives, and it’s used by CPMs, lay midwives, Labor and Delivery nurses, doulas, OBs, Family Practice MDs — anyone keeping track of the births they attend.

Is it hard to use? Does entering a birth take long?

Section titled “Is it hard to use? Does entering a birth take long?”

No. Entering a birth is designed to take a few minutes, including at 4:00 AM after a long night. See Births.

No — you can import your whole history from a spreadsheet. The importer is a five-step wizard (Upload → Map → Providers → Review → Done), and it starts from a downloadable CSV template so your columns line up. See Import from a CSV.

Check your spam folder first. There is no “resend” button — invitation links expire, and the accept page tells an invitee with a stale link to “Ask your practice admin to send a new one.” So the fix is on the admin’s side: open Settings → Team, Revoke the pending invitation, and invite the address again. See Invitations expire — and there is no resend.

Use the Forgot your password? link on the sign-in page to reset it by email.

When Google sign-in is enabled for BirthTracks, a Continue with Google button appears on the sign-in and sign-up pages — it is an environment-wide option, not something each practice turns on. You can also connect or disconnect Google from your profile. See Sign-in & security → Continue with Google.

Can I use a passkey instead of a password?

Section titled “Can I use a passkey instead of a password?”

Passkeys (Face ID, Touch ID, Windows Hello, or a security key) are available to participating practices as a phishing-resistant way to sign in. See Sign-in & security → Passkeys.

That is two-factor authentication. It is available to everyone and can be required for certain roles in your practice; when it is on for your account, you confirm a code after your password. See Sign-in & security → Two-factor authentication.

For safety, BirthTracks signs you out automatically after a period of inactivity (15 minutes by default). Just sign back in — nothing is lost. See Sign-in & security → Automatic sign-out when idle.

If you belong to more than one practice, a practice switcher appears in the sidebar (it shows the current practice name). Pick another practice to switch to it. See Shortcuts & quick create → Practice switcher.

Yes. From your profile’s Your data section you can prepare a spreadsheet backup (CSV) or a full-fidelity JSON export, optionally filtered by date range or provider — and the export keeps working even if your subscription lapses. See Your data.

Account deletion is on your profile, under Delete account. See Your data → Delete your account.

Why can’t I see another practice’s records?

Section titled “Why can’t I see another practice’s records?”

By design. Identified patient records belong to a single practice — you only ever see your own practice’s patients and births, and nothing identifiable crosses between practices. See Privacy & data security.

I made a mistake on a birth — how do I fix it?

Section titled “I made a mistake on a birth — how do I fix it?”

While a record is still a draft you can edit it in place. Once a record is completed, locked, or signed, you don’t edit it — you amend it, which saves a new version and keeps the full revision history. Correct the existing record rather than creating a duplicate, so your analytics stay accurate. See Records & amendments.

Add each baby to the same birth. See Births → Multiples.

Is there a faster way to find a patient or add a record?

Section titled “Is there a faster way to find a patient or add a record?”

Yes. Press ⌘K (Ctrl+K on Windows) to open global search from anywhere, and use the top-bar quick create menu to jump straight into logging a birth, adding a patient, recording a procedure, or importing records. See Shortcuts & quick create.

How do I change my plan or update my card?

Section titled “How do I change my plan or update my card?”

Billing is a Settings page inside the app, not a separate hosted portal. A practice admin opens Settings → Billing to switch plans, add extra seats, update payment methods, and view invoices. See Subscription & billing.

I don’t have an account yet — how do I reach you or ask for a demo?

Section titled “I don’t have an account yet — how do I reach you or ask for a demo?”

Before you sign in, use the contact and demo request forms on the public BirthTracks website. Those are public channels, so it’s fine to ask general questions there — just don’t include any patient details.

Signed in, open support from Help & support in the top bar or Ask BirthTracks in the sidebar — both open the same support drawer (there is no floating chat bubble). Please don’t include patient details in support messages — see Privacy & data security.
