Transfers

BirthTracks tracks transfers of care in two places, for two jobs:

  • the Transfers page — a standing list of the pregnancies that left your practice’s care before delivery, so you can reconcile your caseload; and
  • the Transfers of care section of the course-of-care form — where you record the details of a transfer on a specific birth record.

Open Transfers from the sidebar. Its heading is Patients who transferred out of practice: every pregnancy that left your care before delivery, soonest expected due date first, so a practice reconciling its caseload can see at a glance who is no longer coming to it.

Until this list existed, a transferred-out pregnancy was invisible — the birth log only shows the births that happened, so a practice had to read the whole log and infer which records had simply stopped.

  • Search by name — filter by exact first or last name, the same exact-match rule the rest of the roster uses.
  • Print — each row has a print action; printing is a read, so it is available to every role that can see the page.
  • Export — the selection toolbar above the list exports the cohort to CSV, Excel or PDF, and prints the whole list from one query and column set.
  • When nothing matches, the list reads No transfers recorded with the hint Set a birth record’s antepartum transfer and it appears here.

The Transfers page is read-only by design — the transfer is captured on the birth record, which is where it is edited. A read-only Viewer can open and print the page; a Scribe (a write-only ingest seat) cannot, because it holds no read capability.

The Transfers page is the antepartum-transfer cohort. A pregnancy joins it when its birth record’s Antepartum transfer field is set to anything other than the default None — cared for through delivery — set on either the Births log drawer or the full form. See Births for the drawer field.

Recording a transfer on the course-of-care form

Section titled “Recording a transfer on the course-of-care form”

The full Record a birth form carries a Transfers of care section for recording the transfer itself. Choose Add transfer to add a row (before you do, it reads No transfers recorded.); each row captures:

  • Type — one of the four transfer types the registry models: Antepartum, Intrapartum, Postpartum (maternal) or Neonatal.
  • Destination — where the patient or baby was transferred to.
  • Reason — the reason for the transfer.
  • Emergency — a checkbox marking an emergency transfer.

Choose Remove to drop a row. Keeping the four types distinct is what lets the registry compute intended-to-treat outcomes and transfer indicators rather than collapsing every transfer into one bucket.

Because each transfer carries its type, transfers feed the intended-to-treat and transfer measures in your practice analytics — for example, the share of planned births that transferred intrapartum — instead of being lost as records that simply ended.
